Grantsville Arts & Entertainment District Coordinator
Description: The Grantsville Arts & Entertainment (A&E) District Coordinator is responsible for the general oversight and operations of the Grantsville Arts & Entertainment District. This position includes administrative and financial responsibilities, event management, marketing, promotion and outreach, and collaborative grants and fundraising.
The Coordinator serves under the direction of the Advisory Board of the Arts & Entertainment District with final oversight by the mayor and town council with the Garrett County Arts Council (GCAC).
Position Supervisor: GCAC Executive Director, Kathy Beachler
Classification: Part-time, hourly position requiring weekend and evening hours (average 15 hours/week with hours in evenings/weekends). Some travel throughout the state required.
Monthly work schedule will be coordinated with the Garrett County Arts Council (GCAC) Executive Director, based on hours involved in executing A&E activities including evening and weekend hours.
Location: Requires regular on-site office hours during scheduled work times in Grantsville (178 Casselman Road, Grantsville 21536).
Tasks Performed:
- Coordination and marketing of programs, events and activities within the Arts & Entertainment District to achieve goals outlined in the District’s strategic plans.
- Work hours in the A&E District’s gallery space (The Gallery Shop, Too) and attend A&E events to better understand the community served.
- Perform all administrative and financial aspects of the operation as required by the Garrett County Arts Council, Maryland State Arts Council, and Maryland Department of Commerce.
- Coordination of communications and outreach with GCAC and the general public, government, media, arts community and other stakeholders.
- Work with GCAC staff on execution of fundraising, sponsorships and grant-seeking plans of action for the A&E District.
Specific responsibilities for the coordinator may include, but are not limited to, the following:
Administrative & Financial
- Oversee the operations of the Grantsville Arts & Entertainment District with emphasis on quality customer service to artists, arts organizations, businesses, and other key stakeholders with interest in the A&E District.
- Participate with the Advisory Board in long-range and short-range planning activities.
- Attend meetings as identified by GCAC and the A&E Board to further the mission and goals of the organization.
- Coordinate and attend regular Advisory Board meetings and provide a narrative update that details the accomplishments for the period including outreach efforts, events and meetings: marketing and promotion activities, and fundraising and grant efforts, including research and pursuit of outside funding sources for the A&E District.
- Work with GCAC staff to complete and file required annual report with the Maryland State Arts Council, as well as other reports that the MD Department of Commerce, MSAC, or other state agencies may request.
- Provide information to responsible party to ensure bookkeeping, bill paying, and reporting as well as keeping track of all financials, monitoring receipts, and documenting expenditures made on behalf of the A&E District.
- Create an artist registry for tax and promotional purposes.
- Conduct all business and execute events/activities at the highest standard of integrity, ensuring all activities are legal and ethical.
Events Management
- Responsible for coordinating of arts activities and events as identified by the A&E Advisory Board.
- Work as liaison for the A&E and/or the Town and GCAC as appropriate, to assist organizations and others who have interest in staging events within the A&E District.
- Responsible for full and thorough evaluation of the status of each activity with reports to GCAC and the Advisory Board on the successes and challenges each event brings.
- Make regular reports to the mayor and town council regarding events for which the A&E District is responsible.
Marketing, Promotion & Outreach
- Responsible for coordinating marketing and promotions with GCAC for all District activities and outreach efforts to spread the word of District events, activities and successes.
- Responsible for regular website updates and strong utilization of social media to promote the District and its activities.
- Responsible for crafting press releases and fostering positive working relationships with members of the media, keeping them updated on A&E events and initiatives.
- Represent the District at meetings as identified by GCAC and Advisory Board.
- Keep record of contacts and outcomes for inclusion in the annual report.
Fundraising, Development, Grants
- Research and pursue outside funding resources for the A&E Advisory Board.
- Develop fundraising/financial strategies for the program with GCAC staff.
- Develop and maintain ongoing positive relationships with major donors, potential investors, artists, government, etc.
- Solicit in-kind goods and services as needed.
- Keep record of development contacts and outcomes to be included in meeting updates and annual report.
- Conduct research and maintain a comprehensive list of grant opportunities, schedule and deadlines, and required follow up.
- Prepare quality grant applications and if funding is approved, comply with all guidelines and reports to grantor as requested.
Stewardship
- Responsible for sending formal “thank you” letter after obtaining a donation, sponsorship, or in kind contribution.
- Responsible for follow-up for any event sponsorship questions, concerns and/or issues.
Other
- GCAC may assign other duties to the Coordinator from time to time to meet the needs and goals of the organization.
- The coordinator will be evaluated at any time at the discretion of the GCAC executive director, town, town councils or the Advisory Boards.
Job Qualifications:

- Education: Bachelor’s degree, preferably in arts administration, an arts discipline (visual art, music, dance, theatre, literary arts or culinary arts), or event coordination.
- Work Experience: At least two (2) years of experience in administrative staff, event coordination or professional work.
- Equivalent combination of education and experience is acceptable.
Job Skills:
- Ability to prioritize tasks, manage time effectively, and stay organized. Strong candidate can keep track of multiple projects, deadlines, and details simultaneously.
- Strong verbal and written communication skills.
- Problem-solving skills and ability to think critically and troubleshoot unexpected issues that arise during project coordination.
- Ability to work well in a fast-paced, team environment.
- Ability to manage budgets and resources for programs and events.
- Ability to stand, sit, and lift at least 30 lbs.
- Some regional and state-wide travel for professional development opportunities may be required.
Compensation: $19/hour with opportunities for future growth and performance-based bonus potential.

Artist Ambassador (Grantsville)
Job Title: Artist Ambassador (Grantsville)
Classification: Part-Time (average 10 hours/week)

Reports to: Artistic Programs Manager
Description: The Artist Ambassador is responsible for representing the Garrett County Arts Council (GCAC) and participating artists to the public and for facilitating and conducting sales transactions on their behalf at The Gallery Shop, Too in Grantsville.
Tasks Performed:
- Acts as an art gallery sales associate and public relations agent on behalf of GCAC and gallery artists and artisans.
- Greets gallery visitors and engages visitors in conversation.
- Facilitates and conducts sales transactions using the Clover P.O.S. system.
- Responds to public inquiries for information pertaining to GCAC and The Gallery Shop/The Gallery Shop, Too activities, GCAC’s purpose and non-profit status, participating artists/artisans, and about community nonprofit arts activities.
- Assists with submission and exchange of artwork.
- Records new and returned artwork on the corresponding inventory sheet in clear handwriting.
- Labels artwork with the corresponding labels once it is inputted into the system.
- Maintains current and accurate sales records.
- Assists with GCAC and gallery mailings.
- Assists in maintaining the overall cleanliness and appearance of The Gallery Shop and/or The Gallery Shop, Too.
- Organizes displays for new artwork and seasonal artwork.
- Performs other tasks as required to assist the Executive Director in implementing the policy, procedures, programs, and projects GCAC and The Gallery Shop/The Gallery Shop, Too.
Job Qualifications:
- At least 16 years of age.
- Proficiency in the English language.
- Ability to stand, sit, and lift at least 30lbs.
